Broad outline of the Role

Person responsible for managing the ordering and delivery of 3rd party suppliers access circuits to support prestigious Live Sporting Events requirements for the Media Business Segment. In this role, he/she will be driving a pivotal role in maximizing the operational delivery performance with our 3rd party suppliers in order to meet strict Events deadlines and to contribute in creating a positive Customer Experience.

Key Responsibilities

Ordering preparation – prepare for new Access orders to be placed with the 3rd party suppliers within the established SLA timeline as per agreed commercial & technical specifications, and according to the TATA Communications Supply Chain Governance & Legal DOP Policy. Process the orders with the suppliers either electronically (e-paper order form) or via online supplier ordering portal (where available).
Order implementation milestone tracking – apply know-how in tracking the order implementation activities with the suppliers, ability to firmly drive suppliers to meet the required Events RFS dates, pro-actively identify challenges and provide ideas for corrective actions to avoid delays. Maintain real-time, detailed & accurate orders progress status updates to the internal MES Service Delivery team.
Ensure that all technical requirements are met by the supplier – carry out pre-checks with the supplier service delivery team at the start & during the delivery cycle to ensure compliance against the technical requirements are met (e.g. protection level, MTU size, technology, interface, etc), reminder set of the required test results, as well as ensuring that necessary evidences of the designed/ordered diversity paths (as per KMZ) are requested from the supplier during the implementation phase.
Maximum level of data integrity required while updating the internal systems (REFX, M6, Axis Portal), and ensuring data accuracy of the ordered details captured in the external supplier portals.
Drive weekly orders WIP review calls / meetings with the suppliers, ensure weekly WIP trackers are shared by the suppliers, increase frequency of updates from suppliers when required by the MES Service Delivery team.
Organize complimentary calls/meetings with the suppliers involving the MES Service Delivery team when complex arrangements have to be discussed and/or when escalations discussions are required.
Provide WIP orders updates to/ and attend review calls/meetings with the MES Service Delivery team as per frequency requested by them.

Minimum qualification & experience

  • Bachelor’s degree or equivalent. Minimum of 5 years' experience ideally Media Events Delivery experience. 
  • Project management skills, and capability to manage a project implementation progress & timetable-based tracker.
    Strict deadline results driven - must be able to consistently work towards requested completion dates.
    Adaptability/flexibility/availability at all times – short notice requirement to organize calls with suppliers to address issues/uncertainties/last minute clarification requirements, could be out of business hours (dependent of criticality of issue and/or depending on proximity to the Sporting Events Go-Live Date).
    Absolute stress tolerance - the build up to the Live Events can create moments of high tension as the demand from MES SD/PM team increments exponentially especially if certain issues/delays are happening with suppliers which is putting at risk the required RFS.
    High degree of map reading skill with a high degree of visualization to gain rapid insight & understanding of the Events location lay-out - essential to efficiently discuss & pin down the agreed temporary installation demarcation point.
    Analytical – ability to handle issues related to vendor payments, support audit analysis requests, accurately processing purchase orders with correct details & values. Efficiently analyze the ordering requirements against multiple sources i.e. COF, feasibility, validation package, supplier quote, etc.
    Data processing hygiene – must demonstrate to follow the highest degree of hygiene in processing data in internal systems.
    Communication skills – well spoken & written English. Other European languages is an advantage.
    Enhanced technical knowledge of the telecommunications industry. 
    Escalation management – being able to identify potential upcoming issues/delays during the suppliers' orders implementation process, and pro-actively engage superiors for seeking support in driving escalation efforts with the suppliers. 
    Stakeholders' management – building strong alliances with other cross functional teams such as Provisioners, Legal, Finance Accounts Payables, Product Management, Service Delivery/Program Managers, Sales, Service Management, and with internal Supply Chain teams (ASP MES, Order Validation, Enablers team, Strategy team).
    Financial / accountancy – understand basic financial concepts such as cost, price, margin, revenue, profitability, P&L.
    Self-motivator / ability to work independently – the individual must be able to work independently.
    Adaptability within a multicultural environment – must have experience working with different cultures. Time management & organizational capability – knowing how to efficiently manage high workload within limited time.
