Job Summary

We are seeking a highly organized and proactive individual to join our company as an Executive Assistant. As the right-hand person to the Vice President, you will be responsible for providing high-level administrative support and managing the day-to-day operations of the executive office. The ideal candidate must possess exceptional communication skills, a strong attention to detail, and the ability to handle sensitive and confidential information with utmost professionalism.

Minimum qualification & experience

Bachelor's degree in business administration or a related field (preferred).
•    Proven experience as an executive assistant or in a similar role.
•    Experience in working with finance team and knowledge of finance related documentation will be a plus. 
•    Excellent written and verbal communication skills.
•    Exceptional organizational and time management abilities.
•    Proficiency in Microsoft Office Suite and other relevant software.
•    Strong problem-solving skills and the ability to handle multiple tasks simultaneously.
•    Demonstrated ability to work under pressure and meet tight deadlines.
•    High level of professionalism, integrity, and confidentiality.
•    Strong interpersonal skills and the ability to collaborate effectively with individuals at all levels.
•    Flexibility to work outside regular office hours, as needed.

 

Responsibilities

Responsibilities:

Calendar and Schedule Management:

Proactively manage the VP's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
Prioritize conflicting demands and ensure the VP's schedule is optimized for maximum efficiency.
 

 

Communication and Correspondence:

Screen and prioritize incoming calls, emails, and correspondence, and respond or redirect as appropriate.
Draft and proofread emails, memos, reports, and other documents on behalf of the VP.


Meeting Support:

Prepare meeting agendas, presentations, and other materials as required.
Attend meetings, take accurate minutes, and distribute them to relevant stakeholders.
Follow up on action items and ensure timely completion.


Travel Coordination:

Arrange complex travel itineraries, including flight bookings, hotel accommodations, ground transportation, and visa arrangements.
Anticipate and address any travel-related issues or changes.


Relationship Management:


Build and maintain positive relationships with internal and external stakeholders, including board members, clients, partners, and other executives.
Serve as a liaison between the VP and various departments, facilitating effective communication and collaboration.


Confidentiality and Discretion:


Handle sensitive and confidential information with the highest level of professionalism and discretion.
Maintain strict confidentiality in all matters pertaining to the executive office.

Administrative Support:

Perform general administrative tasks such as filing, record-keeping, expense tracking, and invoice processing.
Assist with special projects and research assignments as directed by the VP.
